Amazon Seller Central issue? Start with the right records and one clear question.

A generic support reply can leave an FBA discrepancy, fee question or payment mismatch unresolved. First classify the issue; then check what Amazon’s response actually answered.

By Vendor Recovery Intelligence · Published October 16, 2026. This guide helps prepare a response; it does not establish claim eligibility.

1. Match the issue to its evidence.

FBA inbound shipment discrepancy

Compare the shipment plan, quantities shipped and received, carrier/tracking records, delivery evidence and documents already submitted. Keep proof of shipment and Amazon’s receipt findings distinct.

Lost, damaged, returned or removed inventory

Identify the inventory event, affected items and quantities, relevant dates, adjustment records and any reimbursement already recorded. For removals, compare expected and received units and keep condition evidence.

Reimbursement reported, benefit unclear

Trace the reimbursement reference into transaction activity, settlement and the current net benefit. Check whether the amount is partial, offset or reversed. A message saying “reimbursed” is a starting point for verification.

Payment or settlement mismatch

Compare settlement and transaction references, fees, refunds, adjustments, status and bank receipt. Identify a displayed reserve or deferred status separately from an unexplained missing amount; do not assume all held funds are immediately payable.

Fee or adjustment question

Identify the fee family, transaction, effective date and the inputs behind it. Where relevant, gather item dimensions, weight or category records. A general complaint about fees does not isolate the calculation being challenged.

Seller-fulfilled refund, A-to-z or chargeback

Keep these processes separate. Gather the decision notice, order, fulfillment/tracking evidence and relevant buyer communications. Verify the applicable process and current deadline for that decision before taking action.

2. Read the response before reopening anything.

  • Evidence requested: check which requested records you actually have, and identify any you cannot supply.
  • Denied: isolate the stated reason and the record supporting or contradicting it.
  • Partly approved: separate the approved portion, unresolved remainder and payment verification.
  • Unclear or repeated reply: quote the unanswered point and ask one focused question.

A useful next action may be to collect evidence, check eligibility or reconcile a transaction rather than send another appeal. Repeating the same submission is not a substitute for answering the stated reason.

Handle a repeated Amazon case response

3. Make your next reply easy to evaluate.

Use this structure only when it matches your records:

I am following up on [case and issue]. Your response states [exact reason or decision]. The unresolved question is [one point]. Our available records show [relevant facts]; [specific record] remains missing or conflicting. Please explain [specific decision basis or transaction application] so we can reconcile the difference.

Fictional example: Amazon’s message says it reimbursed an inbound discrepancy, but the operator cannot locate the corresponding transaction. Ask for the reimbursement reference and how it was applied. Do not describe the case as paid merely because the message uses the word “reimbursed.”

Remove placeholders and verify every statement before submission. Do not claim to have attached evidence that you have not checked.

4. Check the account-specific rules.

Deadlines, documents, eligibility and appeal options depend on the issue, marketplace and current Amazon requirements. Check the current notice and help available in your own account. This guide provides no universal filing window and does not transfer Vendor Central rules to Seller Central.

If the issue involves account enforcement, a legal question or a process you cannot verify, seek appropriate specialist guidance rather than relying on a generic case draft. Keep credentials, customer information and financial documents out of public examples or feedback.

Try a fictional case before using your own information.
